The same facts, two very different emails

One set of facts, two drafts. The first shows the habits people complain about in AI email: a stock opener, padding, a long dash and a deadline that quietly disappeared. The second is a real, unedited result from our New email mode.

  1. 1A stock opener readers recognise as AI and skip.
  2. 2Filler: the email still has not said what it wants.
  3. 3Softens a request you meant firmly.
  4. 4Padding that makes the email longer, not clearer.
  5. 5The deadline is gone: you asked for payment this week.
  6. 6Another stock phrase.
  7. 7Long dashes are one of the best-known signs of AI text.
  8. 8An exclamation mark that does not fit a payment reminder.
  9. 9An inflated thank-you that adds nothing.

Calm it down

Complaint email

Turn an angry complaint into a calm, firm email that still asks for the refund by your deadline.

Polish my draft

Make an email sound professional

Paste your own rough draft and get it back fixed, trimmed and clear, still in your words.

How to write a professional email, with or without AI

Four habits make an email easy to answer. The tool follows them by default, and they work just as well when you write by hand.

Start with the point

Say what you need in the first two lines. Context comes after, and only as much as the reader needs to act.

One clear ask

End with one question or next step the reader can answer in a line. Two requests in one email usually get one answer.

Keep it short

Under 100 words, in paragraphs of one to three sentences. Most people read email on a phone, and they skim.

Match the reader

Reply in the tone you were written to. A formal email gets a formal answer; a quick note gets a quick one.

Overview

Why use NeuralWriter's AI email writer?

Most AI email generators turn three short points into a long, polite email that the reader then pastes into their own AI to shorten again. People spot that voice in seconds: a “hope this email finds you well” opener, “I wanted to reach out”, long dashes, a deadline softened into “when you have the time”. Ours is built to write the email you would write on a good day.

  • Facts in, a short email out. Say what you need, who it is for and one specific detail. The email starts with the point and stays inside a word budget.
  • Replies in their tone. Paste the email you got and your answer in a few words. The reply matches the sender's greeting, length and formality.
  • Your draft stays yours. Polish my draft fixes and tightens your own email without making it stiffer than you wrote it.
  • Angry draft, calm email. Calm it down removes the heat and keeps every demand, date and amount as firm as you meant it.
  • Nothing invented, nothing lost. An email check under the result flags any date or number that went missing, any softened deadline and any figure you never gave.
  • Two versions, one click. Pick the opening you like, then reword any single sentence: shorter, more direct, warmer or more formal.

Background

What is an AI email writer?

An AI email writer, also called an AI email generator, is a tool that turns a short description of what you need into a ready-to-send email: subject line, greeting, body and sign-off. Good ones also reply to emails you received, rewrite your own draft and adjust the tone.

NeuralWriter's email writer works from facts rather than a long prompt. Tell it who the email is for, what you need and one specific detail, and it writes a short, plain email in two versions, in your language. It is free, needs no sign-up and works in 30 languages.

01

How to write an email with AI

  1. Pick a mode. New email, Reply, Polish my draft or Calm it down.
  2. Give it the facts. For a new email, say what you need, who it is to and one specific detail. For a reply, paste their email and your answer in a few words.
  3. Set length and tone if you like. Auto length fits the situation; Natural tone never makes the email more formal than you wrote it.
  4. Choose a version. Two drafts appear with different openings. The email check under them shows length, reading level, questions, AI phrases and whether every date and figure survived.
  5. Fine-tune and copy. Click a sentence to reword it or edit by hand, then copy the subject and the body into Gmail, Outlook or any mail app.
02

Four modes: write, reply, polish, calm down

  • New email. Facts in, a short email out. One version leads with the ask, the other with the context.
  • Reply. Paste the email you received and say what you want to answer. The reply mirrors the sender and answers only what you decided.
  • Polish my draft. Your own email, fixed and trimmed. One version is a light touch, the other about a third shorter.
  • Calm it down. Write it the way you feel and get a calm, firm email that keeps every request, deadline and amount.
03

Reply to an email in the sender's tone

Paste the email you received and write your answer in a few words, such as “yes to Thursday at 3 pm, but no discount”. The reply generator turns those notes into full sentences, answers only what you decided and mirrors the sender: the same kind of greeting, a similar length and the same level of formality. The reply comes back in the language of their email, so you can answer a client in German or a colleague in Spanish without switching tools.

04

Make your email sound professional

Polish my draft is an email polisher for the email you already wrote. It fixes spelling, grammar, capital letters and punctuation, cuts filler and repetition and makes the ask clear, while keeping your words and their order. It never makes the email stiffer or more formal than you wrote it, so it still sounds like you. Pick the light touch or a version about a third shorter, or set Tone to Formal when the reader calls for it.

05

Turn an angry email into a professional one

Write the email the way you feel, then choose Calm it down. Insults, sarcasm, blame and capitals go; every request, complaint point, deadline, amount and consequence stays exactly as firm as you meant it. You get a calm, firm version and a warmer one, so you can send the complaint you need instead of the one you would regret. Nothing is softened into “whenever you have a moment”.

06

Emails that do not sound like AI

Readers have learned the signs of AI email, and they stop trusting the message once they see them. The writer avoids them on purpose:

  • No stock openers. No “I hope this email finds you well”, no “I wanted to reach out”, no “please don't hesitate to”.
  • No AI formatting. No bold words or headings, no long dashes in English emails and at most one exclamation mark.
  • Short by default. Paragraphs of one to three sentences and a word budget you can see in the email check.
  • One clear ask. When you want something, the email ends with one simple question or next step.
07

Dates, numbers and deadlines are checked

AI email tools sometimes drop a deadline, soften it into “when you have the time” or promise things nobody agreed to. Under every result you get a short report, counted in your browser rather than scored by the AI itself:

  • Dates and figures. Every number, date and deadline from your text is looked up in the email. Missing ones, softened deadlines and figures you never gave are flagged.
  • Length against the word budget, and the length of the subject line.
  • Reading level (for English) or average sentence length, and the longest paragraph.
  • Questions the reader has to answer, and how often the email talks about “you” rather than “I” and “we”.
  • AI phrases still left in the text.
08

Private data stays in your browser

With Hide private data on (the default), email addresses, phone numbers, card numbers, IBANs and passwords are replaced with tokens such as [EMAIL_1] before your text is sent. The AI writes around the tokens, and your browser puts the real values back into the result. Everything else is used only to write the email and is deleted automatically within 24 hours. It is never published or sold.

09

Writes emails in 30 languages

Write your facts in any of 30 languages and the email comes back in that language, not translated through English. A reply is written in the language of the email you received. Greetings, sign-offs and politeness levels follow each language's conventions, so a German email reads like German business correspondence.

Who uses the AI email writer?

  • Managers and team leads. Clear requests, firm reminders and calm answers to tense threads.
  • Customer support. Replies to questions, complaints and refund requests in the customer's own tone.
  • Freelancers and small businesses. Payment reminders, quotes, follow-ups and scope changes without awkward wording.
  • Job seekers. Follow-up emails after an interview, thank-you notes and resignation emails.
  • Non-native speakers. Your own draft polished into natural English or another language.
FAQ

Questions, answered

An AI email writer is a tool that writes a ready-to-send email from a short description: subject line, greeting, body and sign-off. NeuralWriter's also replies to emails you received, polishes your own draft and calms down an angry one, and it keeps every date and number you give it.

Choose New email, write what you need in a line or two, add who it is to and one specific detail, then press Write email. You get two versions with different openings. Pick one, click any sentence to reword it, and copy the subject and body into Gmail, Outlook or any mail app.

Yes. It is free to use with no account and no credit card. A soft daily limit applies out of the box. Install our free Chrome extension and drafting becomes unlimited.

Yes. Choose Reply, paste the email you received and write your answer in a few words, for example “yes to Thursday at 3 pm, but no discount”. The reply follows the sender's greeting, length and formality, answers only what you decided and is written in the language of their email.

Paste it into Polish my draft. The tool fixes mistakes, removes filler and puts the request where the reader sees it, without making the email stiffer. Set Tone to Formal for a more formal register. Short sentences, one clear ask and no exclamation marks do most of the work.

Greet the recipient by name, state your purpose in the first sentence, give only the facts the reader needs, end with one clear request and sign with your full name. For a ready draft, choose New email, set Tone to Formal and give the tool your facts: it writes the formal email in your language.

It is built not to. The writer avoids stock openers such as “I hope this email finds you well”, filler, bold text and long dashes, keeps paragraphs short and stays within a word budget. The email check lists any typical AI phrase still in the text.

It keeps every name, date, number and deadline exactly, never softens a deadline and never invents a promise. The email check compares the email with your text and flags any figure that went missing, any softened deadline and any number you never gave.

Yes. Choose Calm it down and write the email the way you feel. You get back a calm, firm version without insults, sarcasm or blame, which keeps every request, date and amount as firm as you meant it, plus a warmer second version.

A chatbot writes whatever the prompt asks for, and its emails tend to share the same stock phrases. This email writer is built for one job: it works from facts, keeps every date and number, gives two versions to choose from, avoids typical AI phrases and checks the result for length, reading level and missing figures. No prompt writing needed.

Not with Hide private data on, which is the default. Email addresses, phone numbers, card numbers, IBANs and passwords are replaced with tokens in your browser before the text is sent and put back into the result on your device. The rest of your text is deleted within 24 hours.

Yes, in 30 languages. Write your facts in the language you need and the email comes back in it, with greetings and sign-offs that fit local convention. A reply follows the language of the email you received.

Yes. Switch between the two versions, click any sentence to choose a shorter, more direct, warmer or more formal wording, or press Edit to change the text by hand. Then copy the subject and the body into your mail client.

A few words are enough. You can paste up to 10,000 characters of facts or a draft, and up to 8,000 characters of the email you are replying to.

Yes, as long as you read what you send. The email goes out under your name, so check every fact and change anything that does not sound like you. The tool helps by keeping your own facts, staying close to your voice and flagging any figure that went missing or appeared from nowhere.

The one whose emails you can send without rewriting them. NeuralWriter writes from your facts, keeps dates and deadlines exact, avoids the phrases that make readers think “AI”, offers two versions and sentence-level rewrites, and shows a report you can check. It is free, with no sign-up, in 30 languages.
